Handle all inquiries within your capacity.
Route calls elsewhere as needed; Complete client intake paperwork process; Set client fees based on fee scale; Assign clients to therapist and set appointments; Process incoming cash, credit card, or check payments in database; Process in-kind donations, as needed; Sort and process mail and other correspondence; Order and maintain adequate office supplies; Maintain current listing of staff and contact information; Monitors and directs facility service requests; Maintains physical space at reception, playroom, conference spaces, and the building entry area (outside and inside).
Oversight of Insurance and Department Billing Assess and records client fee/Medicaid information Collects co-pays; Evaluates/reevaluates and implement client payments and fees; Oversees insurer reimbursements; Assists in rectifying billing issues.
Events and Programming Coordinates annual holiday giving program; Identifies and coordinates event opportunities to cultivate relationships with friends of the YWCA; Assists with volunteer program including identifying and linking volunteers to opportunities; Assist with event and meeting setup and break down.
Non-essential Job Functions Participates in regular supervision; Provides relief support for administrative and programmatic positions as needed; May supervise volunteers on specific tasks/projects; Delivers education and community outreach as instructed by supervisor(s); Obtains knowledge of policies and procedures of the Counseling and Abuse Intervention Programs.
Facility Operation Details:
In charge of office opening and closing procedures; Ensures food and other supplies are stocked, inventoried, and organized; Monitors alarm system and security cameras; Receives donations and follows logging procedures; Works with volunteers to ensure they are best utilized, valued, trained, and thanked; Performs light housekeeping duties to maintain the appearance of the main office; Provides minor maintenance requiring simple hand tools and schedules outside vendors for more complex maintenance needs.
Maintenance expenditures must first be approved by a supervisor.
Requirements Excellent customer service and problem-solving skills; Proactive and helpful demeanor; Proficient in Microsoft Office; Experience with multi-line telephone; Understanding of appointment scheduling software; Clear and concise writing; Attention to detail; Ability to operate standard office equipment; Ability to lift 40 pounds; Bachelor's degree; Additional Skills/Abilities/Qualifications Clear understanding and ability to effectively prioritize; Familiarity or willingness to learn about crisis intervention needs/services as well as community resources; Ability to work well either alone or as part of a team; Clear background check.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
